In regulated food, supplement, and pharma manufacturing, a desiccant is a packaging component — and packaging components go through supplier qualification like any other material. Deals that stall almost never stall on price; they stall because the document pack is incomplete when the questionnaire lands. This guide lists exactly what a QA and regulatory team will ask for, so a switch can move from sample to purchase order without a paperwork delay.
Why documentation, not price, decides the switch
A supplier questionnaire is usually risk-scored — Low, Medium, or High — and a “Not Approved” outcome kills a quote regardless of how good the sample was or how sharp the pricing is. The reviewer’s job is audit-defensibility: can a third-party SQF, NSF, or FDA auditor follow the trail from raw material to finished pack? Every missing document is a reason to score higher risk. Supplying the whole pack at first submission is the single fastest way to win qualification. This complements our bulk desiccant supplier checklist, which covers how to choose a supplier; here the focus is the documents themselves.
The core document pack
Certificate of Analysis (COA) — lot-specific results against the product specification.
Safety Data Sheet (SDS) — current, in your region’s format (GHS).
Technical Data Sheet (TDS) / Product Specification — dimensions, capacity at stated RH and temperature, tolerances.
Certificate of Conformance (COC) — statement that the lot meets spec.
Food-contact / regulatory statement — for ATMOSIScience fiber desiccant, FDA 21CFR175.300 documentation.
Letter of Guarantee (LoG) — continuing assurance of compliance, often required annually.
Manufacturing quality certificate — SGS ISO 9001 (Cert. CN05/31171) for ATMOSIScience.
Country of Origin — for customs and traceability.
Full raw-material disclosure — for fiber desiccant: lignocellulose fiber, calcium chloride, PLA, food-grade paper, water.
The documents that separate approved from best-in-class
Compostability certificates by name. Generic “eco-friendly” claims fail modern scrutiny. Provide the actual marks — ATMOSIScience fiber desiccant is certified under ASTM D6400 and EN 13432. Which mark a given market requires is covered in our compostability certifications guide.
Change Control / Change Notification procedure. A commitment to notify before any material, dimension, or process change — a requirement many auditors weight heavily.
Allergen and GMO statements — where the component touches food.
Stability / capacity test method — the method behind the capacity number, so QA can reproduce it. Running that evaluation is covered in our sample-evaluation protocol.
For pharmaceutical applications, add
Container-closure justification, stability data under ICH conditions, and any Drug Master File or extractables/leachables data your dossier requires — detailed in our guide to FDA-compliant desiccants for pharmaceutical packaging.
How to run qualification without delays
Request the full pack at the sample stage, not after. Name your standards up front — 21 CFR 111 or 117, NSF/ANSI 455-2, SQF, or your customer’s scheme — so the supplier maps documents to your rubric. Ask for the compostability and food-contact certificates as PDFs with certificate numbers, not marketing claims. A supplier who returns the whole pack, pre-mapped, in the first reply is signaling the reliability the questionnaire is trying to measure.
Frequently asked questions
What single document most often holds up approval?
A current, correctly formatted SDS and a lot-specific COA. Generic or outdated versions trigger follow-ups that add weeks.
Do you provide a Letter of Guarantee and change-control commitment?
Yes — ATMOSIScience provides an LoG and change-notification procedure on request as part of the qualification pack.
How current are your certificates?
Request the pack and you receive the in-date versions with certificate numbers your auditor can verify.
